Privacy Notice – Event

We, Porsche Central and Eastern Europe s.r.o., with its registered office at Bucharova 2928/14a, 158 00 Prague 5-Stodůlky, Czech Republic, ID No.: 283 64 023, registered in the Commercial Register maintained by the Municipal Court in Prague, Section C, Insert 136293 ("we" or "Porsche"), organising the local event Porsche Track Experience Hungaroring 2026 (the "event") take the protection of your personal data very seriously, and process it only within the scope of the applicable data protection regulations, in particular Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC ("GDPR").

This privacy notice informs you about the processing of your personal data in which Porsche acts as controller.

Categories of Personal Data

In connection with the event, we might collect the following categories of personal data:

  • Identification data (name, surname)
  • Employment and affiliation data (employer, job position)
  • Contact data (telephone, e-mail, full address)
  • Identity and driver's license data (passport number, date of birth, driving license details) *if you are entering into car hiring agreement and wish to drive our cars
  • Dietary preferences
  • Clothing size *if you are entering into car hiring agreement and rent our racing gear
  • Photos and audio-video recordings *unless you do not wish to be captured by our photographers as explained in our notice outlining rules for photos and videos

Purposes and Legal Basis for Processing

Your personal data provided will be processed for the following purposes:

  • Event management and organisation in order to facilitate your attendance of the event organised by us, in particular securing accommodation, travel, transfer and visa to your best convenience and to secure maximum security on the legal basis of entering into and performance of a contract between you and Porsche and our legitimate interest in effective guest management of the event;
  • Verifying your identification and driving license to allow you accessing the track and hiring our cars on the legal basis of entering into and performance of a contract between you and Porsche;
  • Taking photos or videos from the event and sharing contenton our intranet and other in-house channels such as meetings, conferences or other in-house publications, as well as our external channels including our Carrera magazine, our and Importers' social media (such as Instagram, Facebook, YouTube), Christophorus magazine, as well as our and the respective Porsche Dealers' websites, unless you request not to be captured by our photographers in line with our specific notice explaining rules for taking photos and videos from our events; the legal basis for the processing is our legitimate interest in promotion of Porsche brand and promotion of the event and future similar events;
  • Marketing purposes in order to stay in touch and inform you about interesting updates about Porsche and our next events on the legal basis of our legitimate interests in direct marketing and promotion of Porsche brand and promotion of the event and future similar events, unless you do not express your interest in receiving our communications;
  • Provision of food (catering) in line with your dietary preferences on the legal basis of protection of your vital interests and performance of contract upon your request;
  • Protection of our legal claims on the legal basis of our legitimate interest in protection of our legal claims.

Except for photos and videos from the event, provision of your personal data is inevitable in case you wish to participate on our event and benefit from all our services including car hiring, track access, catering, accommodation, etc. This means that you are obliged to provide such personal data, otherwise Porsche cannot enter into a contract with you or perform a contract which you and Porsche are parties.

Furthermore, we may use your contact data, i.e. name, surname, e-mail, address, phone, mobile phone, for the purpose of client satisfaction surveyto discover your opinion on the products and services provided on the event. The legal basis for such processing is our legitimate interest in constant improvement of our products and services and arrangement of the events according to our clients' requirements.

Capturing Photos and Videos from the Event

During the event we may take photos and videos and share selected content on our intranet and other in-house channels such as meetings, conferences or other in-house publications, as well as our external channels including our Carrera magazine, our and Importers' social media (such as Instagram, Facebook, YouTube), our Christophorus magazine, our and the respective Porsche Dealers' websites. This may include group pictures from the event as well as pictures of participants and their cars.

We value your privacy and we have cautiously balanced our legitimate interests and considered your rights. We have adopted additional measures to prevent unjustified invasion of your privacy and to ensure that our legitimate interests are not overridden by your interests or fundamental rights and freedoms. Our photographers will refrain from taking pictures or videos of any participants who express their wish not to be captured or who will wear the armband distributed at the event entrance (along with our privacy notices). Our marketing teams will also remove your photos or videos or content shared online in case we receive your request to do so.

If you do not wish to be captured on the photos and videos or if you wish your photos or videos to be removed any time after the event, please do not hesitate to reach out to our data privacy team at dataprotection@porsche-cee.com. In such case we will cease storing your photos/videos and we will remove all copies. However, please note that your choice will not affect lawfulness of our processing prior to your withdrawal.

Transfer and Recipients of Your Personal Data

The personal data may be provided to other entities within the Porsche Group as well as our official Importers and Dealers and only to the necessary extent related to the event and only to entities, Importers and Dealers related to the respective event. We only forward your personal data to external recipients outside Porsche Group if this is necessary to administer or process your participation at the event or if another legal authorisation or obligation exists. External providers are categorically hotels, transport service providers, event agencies, insurance companies and public authorities.

Data Retention

In general, we process your personal data for the duration of the event and for the period necessary with respect to each category of personal data and its purpose, however no longer than three years after the end of the event (unless exceptional circumstances such as an incident or legal dispute require further retention).

Source of Information

Your personal data will be collected directly from you. If you provide us with information about a third person (additional participant), you confirm you are authorized to act on behalf of such additional participants and enter into our contract with such third participant on his/her behalf and you are obliged to inform that person about the information specified in this privacy notice. We will provide our privacy notice directly to the additional participant at the latest upon our first communication with such additional participant or at the event which ever occurs sooner.

Your Data Protection Rights

In connection with the processing of personal data, you acknowledge that you have the following rights:

  • Right of access to personal data (i.e. the right to be told what personal data we process about you, what are the purposes of processing, the period for which the personal data will be stored);
  • Right to rectification of inaccurate or incomplete personal data (i.e. the right to have your personal data rectified or completed if it has been incorrectly captured for the above-described purposes);
  • Right to erasure of personal data in the event of the termination of the purpose or unlawful processing or when they are no longer needed (i.e. the right to have your personal data deleted by us to the extent appropriate in justified cases);
  • Right to data portability (i.e. the right to have your personal data provided to another physical or legal person upon your request);
  • Right to restriction of processing (i.e. when the processing is unlawful and you oppose to the erasure, or when you contest the accuracy of personal data);
  • Right to object against certain types of processing of personal data (namely processing in the public interest or based on a legitimate interest of the Porsche). We will no longer process your personal data unless we have legitimate grounds to do so;
  • Right to withdraw consent at any time where the processing of your personal data is based on your consent; however, this does not affect the lawfulness of processing by Porsche or relevant third parties (recipients) based on consent before its withdrawal;
